CheckMyResult GH

Privacy Policy

How CheckMyResult GH collects, uses and protects the personal data of students, parents and schools.

01Who we are

CheckMyResult GH (“CheckMyResult”, “we”, “us”) is an online results platform operated by BGV Internet Services, Kumasi, Ghana, Ghana. It lets Senior High Schools publish results, report cards and examinations, and lets parents and guardians view them.

This policy explains what personal data we hold, why, who we share it with, and the rights you have under the Data Protection Act, 2012 (Act 843).

02Our role and the school's role

Each school that uses CheckMyResult decides what student records are kept and who may see them. For those records, the school is the data controller and we process the data on the school's instructions.

For parent accounts, payments and the security of the platform itself, we decide how the data is used, so for that data we are the data controller.

If you have a question about a student's record, such as a wrong name or a missing result, the school is usually the right place to start. We will help the school act on it.

03What we collect

About students, entered by the school: full name, student and examination numbers, date of birth, gender, class, department, house, boarding status, photograph where the school provides one, subjects, scores, grades, class and subject positions, and remarks. Where the school uses online examinations, we also record answers, marks and the time each paper was taken.

About parents and guardians: name, phone number, email address, the children linked to the account, and a password, which we store only in scrambled (hashed) form that we cannot read.

About payments: the amount, date, academic year, the children covered and the reference issued by Paystack. Card numbers, Mobile Money PINs and bank details are entered on Paystack's own pages and never reach us.

About use of the platform: sign-in times, IP address, and the pages and reports viewed. We use this to keep accounts secure and to investigate misuse.

04Why we use it

  • To show parents their children's results, positions and report cards.
  • To let schools record results, produce report cards and run examinations.
  • To send results and notices to parents by SMS.
  • To take payment for access and confirm it with Paystack.
  • To protect accounts, for example by blocking repeated failed sign-ins and requiring parents to set their own password.
  • To meet our legal and accounting obligations.

We do not use student or parent data for advertising, and we do not sell it to anyone.

05Children's data

Most students on CheckMyResult are under 18. Their records can be seen only by staff of their own school and by the parents or guardians linked to them by the school. Students' results are not public and cannot be found by search engines.

06Who we share it with

We share personal data only with the service providers we need to run the platform, and only as much as each one needs:

  • Paystack, which processes payments.
  • Our SMS provider, which delivers text messages to parents' phones.
  • Our hosting and network providers, which store the platform and protect it from attack.
  • Google Analytics, which measures visits to our home page.

We may also disclose data where Ghanaian law requires it, for example to comply with a court order.

07Where your data is stored

Our servers may be located outside Ghana. Where data is stored or processed abroad, we use providers that apply security protections at least as strong as those required under Act 843.

08How long we keep it

We keep student records for as long as the school uses CheckMyResult, so that past results and transcripts remain available. When a school stops using the platform, it may ask us to return or delete its records.

Payment records are kept for at least six years for accounting and tax purposes. Sign-in and security logs are kept for up to twelve months.

09How we protect it

All connections to CheckMyResult are encrypted. Passwords are stored only in hashed form. Each school's records are kept in a separate database, and staff accounts are limited to their own school. Repeated failed sign-ins are blocked automatically.

No system is perfectly secure. If we learn of a breach that affects your data, we will inform the school, the Data Protection Commission and, where required, the people affected.

10Your rights

Under Act 843 you may:

  • ask what personal data we hold about you or your child,
  • ask for wrong or incomplete data to be corrected,
  • ask for data to be deleted where there is no longer a lawful reason to keep it,
  • object to a particular use of your data.

For student records, contact the school first. For your parent account or payments, contact us at admin@checkmyresult.com. We will reply within 21 days.

If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana.

11Cookies

We use cookies that are needed to keep you signed in and to protect sign-in forms. These cannot be switched off.

Our home page also uses Google Analytics to count visits and see which pages are used, so we can improve the site. It records how the site is used, not who you are, and we shorten IP addresses before Google receives them. Google Analytics is not used inside the school and parent portals, where results are shown. You can block these cookies in your browser settings without affecting your use of the platform.

12Changes to this policy

If we change this policy, we will update the date at the top of this page. Significant changes will also be shown on the parent portal.
